Gmail Integration
Bob Studio can connect to your Gmail account to automatically read incoming emails and match them to tasks in your workspace using AI.
How it works
- Connect your Gmail account from the Settings page
- Bob Studio receives push notifications when new emails arrive in your inbox
- The AI Copilot analyzes each email and tries to match it to an existing task based on subject, sender, and content
- Matches are logged so you can review what was processed
What you can do
- Connect Gmail - Link your Google account via OAuth (read-only access to your inbox)
- Browse emails - View your inbox messages directly inside Bob Studio
- Read email details - Open individual emails with full body and attachments
- Download attachments - Download files attached to emails
- View processing logs - See which emails were processed and whether a task match was found
- Disconnect Gmail - Revoke access and remove the connection at any time
Email-to-task matching
When a new email arrives, the system automatically:
- Extracts the sender, subject, and body
- Uses the AI Copilot to search for a matching task in your workspace
- Logs the result as one of:
| Status | Meaning |
|---|---|
| Task matched | The email was linked to an existing task |
| Task not found | No matching task was found |
| Skipped | The email was missing required fields (e.g., no subject) |
| Error | Something went wrong during processing |
Connecting your account
- Go to Settings
- Find the Gmail Connection card
- Click Connect Gmail
- Authorize Bob Studio in the Google consent screen (read-only access)
- You'll be redirected back to Settings with a confirmation
Bob Studio requests read-only access to your Gmail. It cannot send, delete, or modify your emails.
Push notifications
After connecting, Bob Studio sets up Gmail push notifications so new emails are processed within seconds. The system also runs a fallback check every 15 minutes to catch any missed notifications.
You can check whether push notifications are active by looking at the Watch Active badge in the Gmail Connection card on the Settings page.
Disconnecting
To disconnect your Gmail account:
- Go to Settings
- Click Disconnect on the Gmail Connection card
- Confirm the action
This removes Gmail access from Bob Studio. Processing logs are retained for reference.
Gmail and Google Calendar are independent connections. Disconnecting Gmail does not affect Google Calendar, and vice versa. If both are connected, disconnecting one preserves the other.
